Who runs what

Every coach site on 4CornersOS is operated by an independent coach or training business — your coach. That might be one coach, a club, a facility, or an organization, plus the staff they authorize. They provide the coaching and decide what their program collects, why, and who on their staff can see it. Your relationship is with them, and questions about a player's records should start there.

4CornersOS is a trade name of Anvil GTM LLC, the software company behind those sites. Your coach runs their business; we keep the software working. We process these records to provide the service — not for our own marketing, and never for sale. Authorized Anvil GTM personnel may access records when needed to operate, secure, support or fix the service, or to comply with law.

Everything you need to decide about your family is in this notice. The broader Anvil GTM Privacy Policy covers the platform as a whole.

What's collected

  • Account — created for the email you use when you first register, book or buy on a coach's site: name, email and phone of the account holder, and a password if you set one (stored hashed, never in plain text). Sign-in codes and links we email you are stored hashed and work once.
  • The athlete — name, date of birth or age, graduation year, position, school or team, bats/throws, height and weight, GPA (shown on a public recruiting page only if you or your coach turn that on), a photo, an Instagram handle if you add one, free-text notes about the athlete, your coach's notes, and an emergency contact.
  • Video and photos — clips and photos of the athlete, including the likeness of a minor. Stored privately and played through links that expire.
  • Performance — measurements like exit velocity and pop time, and your coach's written evaluations.
  • Conversation — comments on clips, Clubhouse posts and comments, announcements.
  • Bookings and inquiries — contact details and the athlete's name for bookings, registrations and contact forms. A hashed IP address and browser are kept briefly to limit spam.
  • Agreements — which document version you accepted, when, for which athlete where the document is per athlete, and the IP address and browser it came from.
  • Automatically — cookieless usage analytics and first-party functional cookies (your session, checkout tokens, some interface state). No advertising or cross-site trackers.

Who can see it

Three different audiences, depending on the feature and on choices you and your coach make.

Private — you, your athlete, and your coach. Most of the portal: uploaded clips, the coach–athlete thread, plans, evaluations, metrics, notes, intake answers, emergency contacts. Staff your coach authorizes can see these too; your coach decides which staff see which athletes. Authorized Anvil GTM personnel can when they need to run or fix the software.

Shared — the Clubhouse. If your coach has turned it on, anything posted there is visible to everyone signed in to that coach's portal — other athletes and other families, not only the coach. Depending on the setting that can include last names, position and class year, comment threads, @mentions, and a browsable list of the athletes on that roster, which can include an athlete who never posted. Reacting or mentioning shows a name too, and notifications can carry another athlete's name to your device. There is no per-athlete opt-out today; talk to your coach if you'd rather not take part.

Public — a recruiting profile. If your coach publishes one, it's a page on the open internet with no sign-in, showing the athlete's name, photo, school, graduation year, position, bats/throws, and selected personal bests and clips. Links can be shared, saved or indexed, which is outside anyone's control once it happens. Unpublishing takes the page down immediately but can't retrieve copies already made. Never for an athlete under 13; for a 13-to-17 athlete, only with a recorded permission from a parent or guardian.

"Private" gets used loosely. Here it means something specific — and two of these three audiences are not it.

Your coach can also see your payment history with their business: amounts, dates, refunds and invoices on your Stripe customer record.

AI

The player portal has no AI features. Your coach's workspace has optional AI assistants — for example, help writing their own notes. Those work on what the coach types into them and material the coach chooses to give them; they don't go through athlete records on their own.

Anvil GTM personnel also use AI-assisted tools when building, operating, securing and supporting the service. Records in the service can be processed by those tools in that work. AI providers receive information only to provide their service to us. Neither we nor our AI providers use athlete or family information to train AI models, and we never use this information for advertising.

Service providers

We use outside providers for hosting, storage, email and notification delivery, payments and AI. They handle information only to provide their services to us. The current list is at anvilgtm.com/subprocessors.

Children under 13

Coaches use 4CornersOS with youth athletes, which includes children under 13. Everything above can describe a child.

Permission comes first. Only a parent or legal guardian may create an account for, or give information about, a child under 13. Before that child gets portal access, a parent or guardian must review this notice and affirmatively agree, from their own account, using an email address confirmed by a one-time sign-in link we send to it. We record that agreement with the date, time, document version, IP address and browser. We don't use payment-card or government-ID checks.

What it's used for. Running that child's training with their coach — plans, feedback, progress, scheduling, and reaching a parent. Not sold, not shared with data brokers, not used for advertising.

Shared spaces apply to children too. If your coach has a Clubhouse turned on, a child's post, name and photo can be seen by the other families in that workspace. A public recruiting profile is never served for a child under 13.

A parent or guardian can, at any time: see what's held about their child, correct it, have it deleted, or refuse further collection — which usually means the child can no longer use the portal. Start with your coach, or email us and we'll route it. We may need reasonable proof you're the child's parent.

How long it's kept. While the athlete is active with their coach, and for as long as it's needed for the purpose it was collected for, plus the payment and permission records that go with it. We don't keep it indefinitely just because we have it. On request, we delete it, subject to the limits below.

If our practices change materially, we'll ask a parent or guardian to agree again before relying on the change.

Payments

Your coach connects their own Stripe account and is the merchant of record — the seller on the receipt, responsible for refunds and disputes. Checkout is hosted by Stripe; card numbers go directly to Stripe and are never stored on our servers. If you save a card for next time, Stripe stores it, and only the verified account holder can use it. See Stripe's Privacy Policy.

Connected services

Your coach can connect outside tools to their workspace — calendars, payments, email. Each connection is their choice and is used only for the features they've turned on. Portal sign-in is not one of them: you sign in with a code we email you, a password if you set one, or a one-time sign-in link — never through another company.

Google Calendar. With your coach's permission, availability and bookings sync with their Google Calendar, and someone who books is added as an attendee. 4CornersOS's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. That data is used only for these scheduling features — not sold, not used for advertising, not used for credit decisions, and not used to train AI models.

Deleting information

There's no self-serve export or delete button today. A person handles each request: start with your coach, or email us.

When an athlete's record is deleted, their profile and training history go with it. Some things can outlive it: payment and tax records where the law requires them, the record of which agreements were accepted, sessions already mirrored into your coach's own calendar, and copies in backups and logs until those age out.

Closing a portal account doesn't end a membership with your coach — cancel it under Billing & payments in the portal, or ask your coach.

Your state privacy rights

Depending on where you live, state law may give you rights to access, correct, delete or obtain a copy of personal information. Exercise them through your coach or by contacting us below. We do not sell personal information and we do not share it for cross-context behavioral advertising.

Questions

Email privacy@anvilgtm.com or call (603) 657-4646. For a specific player's records, start with your coach — they hold the relationship and can act fastest.

We may update this notice as the product and the law change. A new version applies to new accounts from its date; where a change materially affects how we handle a child's information, we'll ask a parent or guardian to agree again before relying on it.
